Q. Have the W-2 Forms changed?

A. Yes. New W-2 Forms are required every year. When you install your 2010 Payroll Tax File Update, your Payroll System will be automatically updated so you can print the new W-2 Forms for reporting 2009 wages.

Q. Are all W-2 Forms the same?

A. No. There are several different types of 2009 W-2 Forms which are compatible with your ABS Payroll System. When you are ready to print W-2s, you must indicate the type of W-2 form your company is using at the FORM TYPE field.

The following table lists the types of W-2 Forms you can use with your ABS Payroll System for reporting 2009 employee wages. It also lists the Item # to specify if you order W-2 Forms from FORMCENTER.

Note: In the TYPE column, the first type is for ABS Payroll Version 7; the type listed in parenthesis is for ABS Payroll for Windows.

Each is a continuous, carbonless 1-page W-2 form for pin-fed, dot matrix, impact printers. Requires two sets: one for Employer, one for Employee.

This is a continuous, carbonless 1-page W-2 form for magnetic media filers and is designed for pin-fed, dot matrix, impact printers.

Note: Employers reporting by magnetic media who do not require Copy 1 or Copy D may use the 1-Wide Employee Twin Set Continuous Form listed above.

2-Wide Continuous W-2 Form

This is a continuous, carbonless form designed for pin-fed, dot matrix, impact printers. This prints 2 W-2 forms side-by-side per page for one employee. The right side is larger than the left side

Important. To print this form, the NUMBER OF COLUMNS for your Printer ID must be set to 136 characters, not to 132 characters.

8888–2 (4 Part/3 Ply)

Ply 1: left = Copy 1/D; right = Copy A

Ply 2: left = Blank; right = Copy B

Ply 3: left = Blank; right = Copy C

8888–4 (6 Part/4 Ply)

2-Up Laser W-2 Form

This is a 2-Up form which prints W-2s for 2 separate employees per page. (1 sheet = 2 forms.) It is designed for laser printers.

Note: You will need to order multiple parts, because a laser printer only prints one part—such as Copy A or Copy 2—at a time.

4-Up Laser W-2 Form

This is a 4-Up form which prints all of the copies for 1 employee on a single page. (1 sheet = 1 form.) It is designed for laser printers.

Note: Only use this form if you do not need Item Number 5203A. (See "2-Up Laser W-2 Form.)

5205A (Employee Copies B, C, 2 and 2)

Note: You must also order the following forms to print employer information:

Q. Has the W-2 magnetic media file also changed?

A. Yes. The format of the magnetic media file has changed. If you use this reporting feature, your Payroll System will be automatically updated when you install your 2010 Payroll Tax File Update.

Q. Where can I find my ABS Payroll Serial Number?

A. To locate your ABS Payroll serial number follow these instructions. For Version 7, go to the ABS Master Menu, then select System Maintenance, then Version Info. For ABS for Windows, go to the ABS Master Menu, then select Maintenance, then Version.

Important. When you write down your serial number, always include the letter (P, N, X or W) which follows your serial number. The letter identifies the operating system of the computer on which you run ABS Payroll. Your payroll updates must be specific to your operating system.

Q. How can I tell which type of "Media" my company uses?

Your ABS Payroll software, including year-end updates, is usually delivered on a CD or a 3½" high density diskette. If you require another type of media—a 5¼" floppy diskette, a low density diskette, or a cartridge tape—make sure you check the appropriate box on the Payroll Subscription Service Order and Renewal Form.

Q. Which box should I check on the "Operating System" line on the renewal form?

A. The letter immediately following your Serial Number provides the answer to this question.

Q. How do I know which states to circle?

A. Most subscribers only need to circle the state in which they are located However, if you need to process payrolls for several states, you must circle each of those states. Please do not check the "All States" box, unless you require tax routines for all or most states.

Q. How can I tell if my company has already purchased any Special State Quarterly Earnings Reports?

A. From the Payroll Main Menu screen, select Filing, then select quarterly state Forms. Then choose one of the options listed on the menu bar to display an alphabetical list of states. If you have purchased any State Quarterly Earnings Reports, they will be listed and active (useable). Repeat this process for each option on the menu bar.

(Remember...You can purchase additional Special State Quarterly Earnings Reports for 2009 or 2010 when you renew.)

Q. When will I receive my year-end update packet?

A. Year-end update packets are usually shipped to subscribers in mid-December.
